Procurement Administrator

Full-time – Permanent – Singapore

INSEAD, the Business School for the World, has recently established its own centralised Procurement Department. In order to facilitate the establishment of our newest department, we are currently searching for two full-time Procurement Administrators to join INSEAD on a permanent basis at our Singapore campus in one-north.

As a Procurement Administrator you will be responsible for administering and maintaining pre-defined and less-complex process driven procurements through the raising  of Purchase Orders, the approval of pre-defined Purchase Orders or completing Request for Quotations (RFQs).

A key part of our new global Procurement function, you will also manage central information, intelligence and reporting about suppliers, supplier performance and internal-customer Service Level Agreements. Purchase requisitions from the end business users will beed to be actioned, followed by the raising and approval of relevant purchase orders. At all times you will be responsible for conducting these activities in line with defined processes and policy and ensure that internal customers are appraised of progress during the process. 

On the supplier side you will be responsible for the maintenance of supplier information, both in internal management and externally provided systems (e.g. eAttestation, KBIS and URSAFF), and for collating supplier performance data into the systems and producing reporting. You will also work closely with Category Leads and Procurement Analysts as directed to manage predefined component parts of more complex procurements that meet catalogue or pre-defined criteria.

Experience required:

Ideally the Procurement Administrator will be at least a diploma holder with a minimum of 3 years equivalent experience in purchasing, procurement or finance, or have experience in purchasing goods and services as part of their role.

In addition we also require:

  • Good written and verbal communication in English.
  • Ability to work in a global virtual team alongside counterparts with our campus in France.
  • Experience of dealing with suppliers in support of business objectives.
  • Good working knowledge of Procurement and finance processes. Minimum of basic knowledge in procurement best practices.
  • Solid analytical skills, able to interpret quotations and proposals.
  • Understanding of contracting basics and Procure to Pay systems.
  • Basic level of understanding of supplier relationship management.
