INSEAD is recruiting for a Procurement Systems and Process Manager to join our Global Procurement Department. This is a permanent and full-time position that will be based either at our Europe Campus in France, Fontainebleau or our Asia Campus in Singapore, One-North.
You will be responsible for overseeing and optimising our procurement systems, processes, and procedures to ensure the efficient and effective procurement of goods and services. You will collaborate with cross-functional teams, vendors, and stakeholders to drive improvements in procurement operations, data quality, enhance system capabilities, and streamline processes.
Key Responsibilities will include:
- Management and continuously improve all procurement technological tools to deliver highly effective operations including:
- Maintenance of master data, approval workflows, Users management – Assignment of roles/rights, user access levels
- Troubleshoot system issues which could be data, process, configuration, or integration related, raise tickets and follow up
- Partner with IT teams responsible for development and support of procurement systems integrations/ interfaces
- Create and maintain training materials and conduct internal user training and orientation as well as suppliers onboarding
- Improve catalogs, punch out, free text forms, integrate all standard steps, templates in the sourcing process
- Oversee the contracts database, approval flows, connection with e-signature software (Docusign)
- Design and configure procurement systems to account for new process requests / requirements that may arise
- Review releases from the editor and work with IT and key user groups to evaluate impacts within the application and across integrations. Coordinate with these teams to test patch impacts and plan for roll-out into production.
- Produce, maintain, and conduct test plans for user acceptance testing for new functionality and defect resolution, regression testing and testing of fixes to defects in releases
- Drive a PO culture, reduce non-PO’s invoices and expenses. Pro-actively monitor Open PO, late POs and other anomalies with the team
- Track and report on identified key performance indicators and creates regular summary reports (monthly, quarterly); Generate comprehensive reports, dashboards, and metrics to provide insights on procurement performance and support decision-making processes
- Responsible for overseeing robust due diligence and legal/administrative/regulatory compliance with external tools such as Dun & Bradstreet, IndueD, E attestations for all entities as well as provide necessary training/adaptation
- Procurement project lead for the new ERP implementation project
To be successful in this role, you should have
- A Master in Procurement or a Master in Technology
- Minimum of 5 to 7 years relevant experience in Procurement or Purchasing, with hands on experience in technical projects for procurement and procurement system implementation
- In-depth understanding of procurement process and supplier management experience
- Strong analytical and problem solving capabilities
- Passion in process optimisation
- Excellent project management experience
- Excellent verbal and written communication skills, with ability to guide and train stakeholders
- Comfortable working with people from diverse background and culture.
- Ability to speak and write French and English
